Can a Small Business in Gaston County Use AI Without Putting Customer Data at Risk?
October 17, 2026
Yes, if you set a few ground rules before anyone on your team starts typing.
Most small businesses in Gastonia and Charlotte are already using AI, whether the owner knows it or not. An employee pastes a customer email into ChatGPT to draft a reply. Someone uploads a spreadsheet to get a quick summary. It saves time, but it also means customer names, phone numbers, and sometimes account details are leaving the building.
Here are the five rules I give every client before we automate anything:
1. Decide what never goes into an AI tool. Social Security numbers, card numbers, medical details, and passwords stay out. Write the list down and share it.
2. Use business accounts, not personal ones. Business versions of tools like ChatGPT and Claude let you control whether your data is used for training. Free personal accounts usually don't give you that control.
3. Strip names before you paste. Replace "Mary Johnson, 704-555-0101" with "Customer A." The AI writes the same reply.
4. Keep a human in the loop. AI drafts, a person approves. Nothing goes to a customer without someone reading it first.
5. Know your industry's rules. Law firms, healthcare offices, insurance agents and CPAs have confidentiality obligations that apply to AI the same way they apply to email.
I spent 20 years with the NYPD, retiring as a sergeant, and I now run both an AI consulting firm and a cybersecurity firm. The businesses that get hurt by AI aren't the ones using it. They're the ones using it without rules.
